Where the 20–40 minutes go
The benchmark covers the whole job, from opening the candidate's file to uploading the result. Formatting by hand usually means:
- Taking the source layout apart: two-column designs, text boxes and tables have to be unpicked before any text can be reused.
- Rebuilding it in the template, section by section, and fixing the dates, bullets and fonts that arrive broken.
- Anonymising: removing the name, contact details and photo, including copies hidden in headers, footers and file properties.
- Applying the client's rules, since many clients want their own section order or template.
- Retyping scans: a scanned or photographed CV has no selectable text, so it is typed out or run through OCR and corrected.
- Proofreading, exporting and uploading the finished file to the ATS.
A clean Word CV going into a simple template sits at the quick end of the range. A scan going into a client-specific template with a blind version sits at the slow end.
What AI formatting changes
AI formatting software runs those steps as one pass. It parses the file into a structured candidate record, lays the record out in the chosen template, strips identifiers as it goes, and exports DOCX or PDF or writes the result back to the ATS. The recruiter's job becomes checking the output instead of producing it. Scans still deserve a closer look, and a new client template takes some setting up the first time. Bulk CV formatting covers the batch case, where the gap between manual and automated work is widest.
