CV formatting software is a tool recruitment agencies use to turn candidate CVs, whatever their layout, into the agency's own branded template. It parses the document, maps the content into a set structure, removes personal details where needed, and exports a client-ready Word or PDF file or pushes it back to the ATS.
Agency software, not a CV builder
Consumer CV builders such as Teal, Rezi or Kickresume help one job seeker write and design their own CV. CV formatting software works the other way round: an agency receives CVs it did not write, in every layout imaginable, and needs each one to reach the client looking like the agency sent it.
That means the same fonts, logo and section order on every submission, the candidate's contact details replaced with the agency's, and a file the client's ATS can read. The job is presentation. The candidate's experience stays theirs, and a recruiter reviews the result before it goes out.
How CV formatting software works
Most tools work in four steps.
- Parse: the software reads the source file (usually PDF or Word, sometimes a LinkedIn export or plain text) and works out what each piece of text is: a job title, an employer, a date range, a qualification.
- Map to a branded template: the content becomes a structured candidate record, which is laid out in the agency's template. Larger agencies keep separate templates per client, brand or office.
- Anonymise: for blind submissions, the name, contact details, photo and other identifiers are removed or swapped for a candidate reference. CV anonymisation in the same pass is more reliable than redacting by hand afterwards.
- Export or push to the ATS: the CV comes out as DOCX or PDF, or is written straight back to the candidate record so nobody downloads and re-uploads files.

Who uses it
Agencies that submit candidates to clients use it most. Consultants format as part of every submission; support staff often batch-format for the desk. Executive search firms use it for polished candidate packs; IT and contract agencies use it because their weekly volume would otherwise swallow someone's week. It also earns its keep on one-off jobs, like restyling a CV database after a rebrand or an ATS migration.
